Job Dimensions

This position will be based at the Arkema Coating Resins Headquarters in Cary, NC.  The position will

report to the site Facilities Manager.

  • Supports the site HES policy and complies with all regulatory and internal requirements
  • Participates in HES activities provided by site management and Arkema Inc. (e.g., Behavioral Base Safety, SafeStart, etc.)
  • Supports and promotes the reporting of all health, safety, environmental, near-miss, accident or injury incidents
  • Travel (5%)


Key Activities and Responsibilities

           Office Management

  • Management of office space, IT resources and the phone system.
  • Manage office-related special projects.


    Administrative Support

  • Manage the Content Management System (CMS), ensuring agreements are completed in a timely manner
  • Coordinate ACR calendar.  This includes scheduling of monthly & quarterly review meetings. This also includes organizing internal & external meetings, large & small. 
  • Coordinate and participate (if needed) in ACR events or trade shows including setting up suites, booths, catering, etc.
  • Organize domestic & international travel itineraries.
  • Handle all non-chemical purchases for the group including allocation to proper business group/and gl account.
  • Ordering flowers/gifts, catering, books, training materials, etc. for the group using procurement card
  • Pay invoices using procurement card for various departmental services such as Conference Call Service, OfficeMax, CDW (computer accessories)
  • Reconcile procurement card every month
  • Pay administrative-related invoices through PPOP process in SAP (ex. catering bills from hotels, organization memberships, advertising, conference costs, assessments, event costs for division and/or customer events)
  • Work with help desk to order PCs and related purchases for division
  • Oversee the ordering and maintaining office supplies and business cards or the Cary site.
  • Maintain confidential files and data.
  • Maintain customer distribution lists for price increase mailings, holiday cards, event invitations, etc.
  • Coordinate distribution and maintain file of expense reports.
  • Coordinate with sales team to maintain up-to-date customer information.
  • Assist new employees in access requests and workspace arrangements.


Required Education/Work Experience

  • Bachelors degree or minimum of 5 years of facilities/office management experience
  • Proficient in computer applications including SAP; Lotus Notes; Microsoft Office; Excel; MS Project, PowerPoint
