Situation in Organization

Reports to Sr Director of Logistics and Sr. Director of Goods & Services.

 

Job Dimensions

Sr. Executive Assistant for the GASP and Logistics purchasing organization, supporting a team of approximately 35 staff members and providing operational support to the Directors of Goods & Services and Logistics Purchasing.  The role oversees all of the operational needs of the group regarding things such as office infrastructure, office equipment, supplies, support services, data management, and manages key activities such as event planning, and staff recruiting.

 

Key Activities and Responsibilities

  • Oversees the contract management system to assure integrity of data (all contracts)
  • Responsible for all major event planning (REACTS workshop and Department meetings)
  • Work with department leadership to coordinate all of the activity related to recruitment of new staff
  • Responsible for all of the onboarding planning for new staff members
  • Oversee the Element (PHH) and Runzheimer programs for car fleet management
  • Manages the office supply and support service needs for the operation of the team, responsible for the purchasing card and the reconciliation of the account
  • Work with leadership to provide appropriate office facilities for the staff (space, furniture, supplies, services, etc.)

  • This position is based in King of Prussia. 
  • This role requires the individual to be able to operate in a dynamic, fast paced environment
  • This role is oftentimes the first face and voice of the Company to our suppliers and new staff
  • It is important that this individual has an in depth understand of the Company operations.
  • Success in this role requires good business sense, sound judgment, decisiveness, and flexibility.

 

Requiremend Education / Qualifications / Work Experience

  • HS degree is required but a BS or AS degree is preferred. 
  • Minimum 5 years’ experience in office management.  Positive experience operating in a multi-regional / global business unit is preferred.

 

Demonstrated Competencies

  • Ability to interact with individuals at all levels within the organization, including the CEO.
  • Strong interpersonal skills are required, including composure and professional demeanor
  • Ability to solve problems and present solutions, maintain confidentiality, multi-task and prioritize needs of multiple individuals to ensure needs of all team members supported are met in a timely fashion.
  • Ability to work with several managers, supporting different roles and styles of management.
  • Strong working knowledge of Microsoft Office programs including Explorer, Word, Excel, PowerPoint, and Access as well as Lotus Notes, Company ERP systems such as SAP.
  • Ability to influence without formal authority.
