SITUATION IN ORGANIZATION

This position reports directly to Lead, HRMS and T&E.  This position does not have any indirect reports, although will mentor and help train other employees, co-ops and interns as required. 

JOB DIMENSIONS

This role administers and provides training and support as a primary user and technical specialist for Arkema’s US based (SAP) HRMS tools.  This role also leads processes and execution of Arkema’s US based T&E programs in support of organizational compliance, employee data integrity, and key internal HR functions and processes.  This role operates as liaison and backup, where required, to the Lead and/or Manager in their function.

KEY ACTIVITIES AND RESPONSIBILITIES

HRMS primary - Administration, Reporting, Troubleshooting and Data Integrity, including:

  • Review and implement HRMS changes for assigned HR Business Partners in various HR modules of SAP. 
  • Ensure integrity, accuracy and completeness of data and entry of forms provided by HRBPs and others for SAP transactions
  • Proactively identify and troubleshoot daily technical issues or complexities with HRMS transactional changes and other entries.  Analyze process gaps and communicate findings timely to appropriate audiences.  Propose and implement agreed upon resolution.
  • Review weekly HRMS transactional changes to proactively identify, troubleshoot and resolve HRMS data entry issues directly with other HR COEs (Payroll, etc.) and HR team, keeping open communication.
  • Conduct regular reviews of existing data in HRMS to identify issues.  Analyze data history, communicate, make recommendations and implement solutions.  Escalate issues where required to management or IT.
  • Gathers requirements for and leads creation and maneuvering of customized Spinifex and HRMS (primarily SAP) reports for targeted user audience. 
  • Build, implement and update HRMS related training for user audience.  Partner with manager for review, where necessary, on more complex training topics.
  • Proactively identifies, documents, analyzes, communicates and implements, with alignment of manager and others, updates to HRMS data entry processes or challenges.
  • Acts as consultant/advisor for HRMS related questions from assigned HRBPs.
     

T&E Program Management and primary Administrator, including:

  • Coordinate customer services, communication to employees & management, and implement training initiatives
  • Administer the T&E process - Ensure integrity and timeliness of regular T&E processing
  • Lead T&E reporting and audit population determination.
  • Monitor the T&E expense report/receipt audit reviews performed by outside service - Act as back up when necessary.   
  • Provide expertise to employees and HR team on Employee T&E/Corporate Card inquiries.  Research, resolve and communicate any identified issues timely.
  • Manage and implement all corporate card delinquency tracking program, including report design and distribution, as well as email monitoring and creation of email communications.
  • Lead and prepare all gift card taxation monthly reports and uploads
  • Audit/ensure proper gift card orders are placed in alignment with the recognition/rewards budget for HR,C&SS department
  • Operate as lead Motus auto program administrator and provide education and support to new hires on program information questions. 
     

HR Data Integrity and HR department assistance, including:

  • Manage the integrity of employee files, including file Room Maintenance and timely archiving, as well as creation and/or review of items placed in employee files.
  • Provide guidance and training to co-ops, interns and/or other temporary employees on file room procedures and archiving processes.
  • Conduct periodic audits of employee file room/archives procedures and communicate results and solutions to management.
  • Ensure and complete proper New Hire Reporting/SSN Verification
  • Lead reporting and tracking for Arkema’s Education Assistance, including communications with payroll and other HR team members and departments, including LMS entry coordination.
  • Enforce Education Assistance policy guidelines on payback through follow up with employees and HRBPs.  Create and and communicate payback agreements.
  • Participate and provide data required as United Way launch team participant
  • Provide periodic phone coverage support for SVP of HR, Communications and Site Services
     

CONTEXT AND ENVIRONMENT

  • Position based in King of Prussia, PA with minimal travel expected.  Possible travel in US to trainings
  • Operates in an environment of time sensitive business cycles and need to adhere to critical deadlines
  • Organizational and time management skills are critical for this role. 
  • Composure, ability to build rapport and trust, good judgment and analytical skills are also needed to be effective in the role.
  • A sense of urgency and a proactive approach to addressing issues is expected.
  • Supports the site HES policy and complies with all regulatory and internal requirements
  • Participates in HES activities provided by site management and Arkema Inc. (e.g., Behavioral Base Safety, SafeStart, etc.)
  • Supports and promotes the reporting of all health, safety, environmental, near-miss, accident or injury incidents
     

REQUIRED EDUCATION/QUALIFICATIONS /WORK EXPERIENCE

  • Bachelor’s Degree in Management Information Systems and/or Business with relevant experience, including:
  • 4+ years of progressive systems and HR experience including:
    • 3+ years of HRMS HR tools and systems administration and process implementation experience. including 1 or more years operating as a primary user with HRMS as part of a large ERP system, preferably SAP HRMS, required
    • Experience troubleshooting, analyzing and resolving HRMS process, reports or transaction issues
    • Experience with use and knowledge of SuccessFactors is preferred.
    • 1+ years of creating and maneuvering data and complex reports from Spinifex or other reporting tools is required.
    • 1+ years of experience training or educating others on HRMS tools and processes is preferred.
    • 1+ years of experience with audits of HRMS reports and processes, for support of data integrity and internal control programs, is required.
  • Advanced proficiency with Excel is required.
  • 1+ years of experience in the implementation, training for and support of new processes is required
  • 1+ years of experience leading less complex projects and/or portions of larger projects is preferred.  Aptitude and willingness to learn and take action in projects is required.
  • Prior experience administering and support T&E programs is preferred.
  • Experience or exposure working with HR or other team members outside of US is preferred.
  • Good functional knowledge of human resources and support of HRBPs process and transactional understanding and needs.
